Purpose
At Healing House Kansas City, we are committed to maintaining the highest standards of integrity, confidentiality, and responsible stewardship in our interactions with donors. We recognize that every donation represents an investment of trust in our mission.
This policy outlines our practices for protecting donor information while allowing Healing House Kansas City to responsibly use appropriate fundraising tools, partnerships, and services that strengthen our ability to advance our mission and transform lives.
Scope
This policy applies to all employees, contractors, volunteers, board members, service providers, and other authorized parties who have access to donor information on behalf of Healing House Kansas City.
Policy Statements
1. Confidentiality of Donor Information
Donor information, including names, contact information, donation amounts, giving history, and other information maintained in Healing House Kansas City’s donor records, will be treated as confidential.
Access to donor information will be limited to authorized staff and other individuals or service providers who require access to perform legitimate functions on behalf of Healing House Kansas City.
Healing House Kansas City respects the privacy of its donors and is committed to protecting their information from unauthorized access, disclosure, or misuse.
2. Sharing, Selling, or Exchanging Donor Information
Healing House Kansas City does not sell its donor database or donor lists to outside organizations for commercial marketing purposes or unrestricted use.
Healing House Kansas City may provide limited donor information to contracted service providers, fundraising partners, or nonprofit data cooperatives for legitimate organizational purposes, including fundraising analysis, donor modeling, prospect identification, list development, data enhancement, and improving fundraising effectiveness.
When participating in a nonprofit data cooperative, donor information may be securely matched with information provided by other participating nonprofit organizations. This information may be used to identify individuals who have demonstrated charitable giving activity across multiple organizations and to develop prospective donor lists.
While participation in nonprofit data cooperatives may be classified as the “sale” or “sharing” of personal information under certain state privacy laws, Healing House Kansas City does not sell its donor database or provide other nonprofit organizations with unrestricted access to its donor records.
Healing House Kansas City will not knowingly disclose a donor’s individual giving amounts, giving history, or specific relationship with Healing House Kansas City to another participating nonprofit organization.
Healing House Kansas City will require participating vendors and data cooperatives to maintain appropriate confidentiality and security protections and to limit the use of donor information to authorized purposes.
Donors may request that their personally identifiable information be excluded from nonprofit data cooperative
activities, as outlined in Section 5 of this policy.
3. Use of Donor Information
Donor information will be used only for legitimate organizational purposes, including:
• Acknowledgment and processing of contributions;
• Communication about Healing House Kansas City programs, services, events, and initiatives;
• Fundraising and donor-development activities;
• Fundraising analysis, modeling, prospect identification, and improvement of fundraising effectiveness;
• Maintaining and improving the accuracy of donor records; and
• Compliance with applicable legal, accounting, regulatory, and reporting requirements.
Healing House Kansas City will seek to use donor information in a manner consistent with donor expectations, organizational values, and applicable privacy laws.
4. Protection of Donor Information
Healing House Kansas City will maintain appropriate administrative, technical, and physical safeguards to protect donor information.
Electronic donor records will be maintained using appropriate security measures, including passwords, access controls, encryption where applicable, and other reasonable safeguards.
Physical donor records will be maintained in secure, restricted-access areas.
Third-party service providers and nonprofit data cooperatives receiving donor information will be expected to maintain appropriate data-security and confidentiality standards and restrict the use of information to authorized purposes.
Healing House Kansas City will take reasonable steps to ensure that information shared with outside service providers is limited to what is necessary for the intended and authorized purpose.
5. Donor Rights and Preferences
Healing House Kansas City respects the rights and preferences of its donors regarding the use of their personal information.
Donors have the right to review information Healing House Kansas City maintains about them and request corrections when appropriate.
Donors may opt out of Healing House Kansas City communications or request anonymity for their contributions.
Donors may also request that their personally identifiable information not be included in nonprofit data cooperative, list-development, or similar external fundraising data activities.
Healing House Kansas City will honor such requests within a reasonable period of time and in accordance with applicable privacy laws.
Donors may submit requests through the Development Department using the contact information provided at the end of this policy.
Healing House Kansas City is committed to making these preferences easy to communicate and honoring the trust donors place in our organization.
6. Designated Funds
Designated funds will be held and utilized exclusively for the purpose specified by the donor.
If Healing House Kansas City cannot utilize funds for the designated purpose, the organization will either decline the donation or communicate with the donor to clarify or modify the intended use before applying the funds to another purpose.
7. Third-Party Fundraising and Data Services
Healing House Kansas City may engage reputable third-party organizations to provide services supporting its fundraising and development activities.
These services may include direct mail fundraising, donor database management, data analysis, prospect identification, fundraising modeling, and participation in nonprofit data cooperatives.
Before providing donor information to a third-party provider or nonprofit data cooperative, Healing House Kansas City will seek appropriate contractual protections addressing:
• Confidentiality of donor information;
• Permitted and restricted uses of information;
• Appropriate data-security safeguards;
• Protection against unauthorized access or disclosure;
• Compliance with applicable privacy laws and donor opt-out preferences; and
• Appropriate retention, return, or deletion of information upon termination of the relationship.
Participation in a nonprofit data cooperative does not authorize another participating nonprofit organization to access Healing House Kansas City’s donor database or identify Healing House Kansas City as the source of an individual’s donor relationship.
Healing House Kansas City will periodically review its third-party fundraising relationships to ensure that they remain consistent with our commitment to responsible stewardship and donor privacy.
8. Training and Accountability
Employees, volunteers, board members, and others with access to donor information will be informed of Healing House Kansas City’s donor confidentiality practices as appropriate to their responsibilities.
Individuals with access to donor information are expected to handle that information responsibly and only for authorized organizational purposes.
Any known or suspected breach of donor confidentiality will be reviewed, and appropriate corrective actions will be taken, which may include disciplinary action, termination of access, termination of a vendor relationship, and other actions as appropriate.

Healing House Kansas City recognizes the trust our donors place in our organization.
We believe that responsible stewardship extends beyond how donated funds are used. It also includes how we protect the personal information entrusted to us.
We are committed to maintaining donor confidentiality, respecting donor preferences, and responsibly using fundraising practices and technologies that help us connect with individuals who share our commitment to transforming lives.
Our goal is to balance effective fundraising with the highest standards of integrity, transparency, and respect for those who support our mission.
Approval and Review
This policy will be reviewed periodically and updated as necessary to reflect changes in fundraising practices, technology, applicable laws and regulations, and recognized nonprofit data-security and privacy practices.
